Beyond the Website: IT and Email Security

A graphic depiction of a padlock with a cybertech background.
Websites don't exist in isolation. Email systems, user accounts, and internal IT all play a role in a
company's overall security posture.

Many businesses come to us after experiencing (or very narrowly avoiding) phishing attacks, compromised email accounts, or suspicious login activity. These threats are no longer limited to large enterprises; small businesses are often targeted precisely because they tend to have fewer defenses in place.

We offer layered security solutions that actively monitor Microsoft 365 accounts for unusual behavior and signs of compromise, shutting down threats before they turn into real damage.

Security Awareness Training That Actually Works

Technology alone isn't enough. Employees are often the first line of defense — and, unfortunately, the most common entry point for attackers. That's why we also offer security awareness training programs that include:

Short monthly video training sessions
Follow up quizzes to reinforce key concepts
Simulated phishing campaigns to test real world awareness
Reporting that shows who completed training and how users responded

Clients often tell us they immediately see the value in this approach. Others only realize how important it is after experiencing a security incident. Either way, awareness and preparation can dramatically reduce risk.

When Your Website Feels Like a Mess

Photo of a laptop with coding.
A common theme we hear from new clients is that their website feels disorganized, outdated, or difficult
to manage. In many cases, businesses inherit a site that has been patched together over time by multiple developers, making even simple changes frustrating.

When that happens, and especially when a site is 5 or more years old, starting fresh can be the most effective solution.

Rather than forcing fixes onto a shaky foundation, we recommend rebuilding the site with a clear structure, modern design, and long-term maintainability in mind. The goal isn't just to make the site look better (though that can be part of it), it's to make it WORK better.

Custom Website Design Built for Security and Control

Our core team has been designing and hosting websites since the mid 1990s. Over the years, we've seen trends come and go, and we've also seen what tends to break, get hacked, or become unmanageable.
That experience led us to develop our own custom content management system (CMS).

Unlike off the shelf platforms that are frequent targets for automated attacks, our CMS is designed with security in mind, while still giving clients the ability to update their own content. You can make changes to text, images, and pages without worrying that a routine update will open the door to vulnerabilities.
Just as important, you're not left on your own. When something needs to be adjusted or improved, our team is here to help.

The Most Common Email-Based Attacks We See

A photo of a padlock on a cybertech background, representing cybersecurity.
Not all email threats look dramatic. Many are subtle and designed to blend into normal business activity.

Phishing Emails

These are messages that pretend to be from trusted sources, such as Microsoft, a bank, or a vendor. The goal is to trick users into clicking a link or entering credentials.
Modern phishing emails are often well written and personalized, making them hard to spot without training.

Business Email Compromise (BEC)

This is one of the costliest attacks for small businesses. An attacker gains access to a real email account and uses it to:

  • Request wire transfers or ACH payments
  • Change vendor banking details
  • Ask for sensitive information

Because the email comes from a legitimate account, these attacks frequently bypass basic filters.

Malicious Attachments

Fake PDFs, Word documents, or shared files can install malware or ransomware when opened. These often arrive disguised as invoices, shipping notices, or contracts.

Account Takeovers

If an attacker steals a password, they can log in directly to Microsoft 365 or Google Workspace, often without triggering alarms. From there, they can monitor conversations and strike at the right moment.

Cybercriminals are not slowing down, and email remains their favorite entry point. The good news is that most email-based attacks are preventable with the right combination of technology, training, and active oversight.

Why Cybercriminals Target Email First

A photo of a smartphone on a honeycomb background with a speech bubble that says "43% of cyberattacks target small businesses."
Email is attractive to attackers for a simple reason: it works.

Phishing emails, fake invoices, and compromised accounts don't require breaking into servers or exploiting complex systems. All they need is one person to click a link, open an attachment, or reply to a message that looks legitimate.

For small businesses, this risk is amplified because:

  • Employees often wear many hats and work quickly
  • There is less formal security training
  • Email accounts are tightly connected to file storage, accounting systems, and vendor relationships

Once an attacker gains access to a single mailbox, they can move laterally, impersonate users, and quietly gather information.

Cybersecurity Reality Check for Small Businesses

A graphic depiction of cybersecurity that says "Cyberattacks cost small businesses an average of $25,000 per incident.
Did you know that cyberattacks are getting more frequent and more devastating?

The good news is that you don’t have to become a cybersecurity expert overnight. You just have to stop treating backups and security as an afterthought and start treating them like the insurance policy your business can’t survive without.

Here’s the reality for most small businesses we talk to in Ann Arbor, Ypsilanti, Novi, Howell, and the greater Detroit area:

  • Your data is growing faster than ever (QuickBooks files, customer records, invoices, project folders, emails).
  • A single ransomware incident can cost thousands (or more) in downtime, recovery, and potential ransom.
  • Most owners assume “it won’t happen to me”—until it does.
  • Simple, affordable solutions exist that didn’t ten years ago.

This year, make the resolution that actually matters: commit to protecting what you’ve worked so hard to build.

Our Ann Arbor-based tech support specializes in helping small businesses just like yours implement reliable backup systems and layered cybersecurity protections that fit your budget and your team size—no overwhelming jargon, no unnecessary complexity.

IT Goals for 2026

A cyber-themed graphic depicting the year 2026.
Happy new year, Michigan businesses!

January is here, and while you’re planning growth goals, new hires, or that long-overdue website refresh, there’s one resolution most small business owners keep pushing off: finally treating data backups and cybersecurity like the critical priorities they are.

You’re busy. We get it. We’ve worked with hundreds of small and mid-sized businesses across Southeast Michigan since 2001—restaurants, law firms, manufacturers, medical practices, and retailers just like yours. We’ve seen firsthand what happens when “I’ll get to it later” turns into a frantic 2:00 a.m. phone call because files are encrypted, customers can’t be reached, or an entire week’s worth of work is gone.

2026 isn’t bringing fewer threats—it’s bringing smarter, faster, and more targeted ones. Ransomware groups are now going after small businesses in record numbers because they know most don’t have enterprise-level protections (or even basic offsite backups). One attack can wipe out years of profit in days.

Protect Your Business Data

What’s the best way to protect your business data?

For small businesses, losing data can mean lost revenue, damaged reputation, or operational chaos. To safeguard your data:

  • Create Independent Backups: Store copies of your data outside your primary cloud provider, such as on another cloud platform or local storage like external drives.
  • Enable Protective Features: Use tools like AWS Backup or OneDrive’s versioning, but ensure they’re properly configured.
  • Diversify Storage: Don’t rely on a single provider. Spread your data across multiple platforms or maintain offline backups.
  • Test Recovery Plans: Regularly verify that your backups work to avoid surprises during a crisis.

Redundancy vs Backups: Understanding the Difference

Photo of a laptop being backed up onto a hard drive by an Ann Arbor IT support company.
Do you know the difference between a redundancy and a backup for your data?

Cloud services like AWS and OneDrive use redundancy to keep your data accessible, even if a server fails. For example, AWS S3 stores data across multiple locations, boasting 99.999999999% durability. OneDrive offers similar protections with geo-redundant storage. However, redundancy doesn’t protect against:

  • Accidental deletions by you or your team.
  • Cyberattacks, like ransomware, that can corrupt or delete data across all replicas.
  • Account issues, such as suspensions due to policy violations or payment disputes, which could lock you out of your data entirely.
  • System errors or bugs on the provider’s end, which, while rare, have led to data loss for some users.

True backups, on the other hand, are separate, point-in-time copies of your data that allow recovery after such incidents. Many cloud services don’t automatically provide comprehensive backups, and features like OneDrive’s 30-day Files Restore or AWS’s versioning require setup and may have limitations.

The Importance of Cybersecurity for Small Businesses

A photo of a smiling woman holding an "Open" sign, representing a small business owner that could benefit from NSG's Ann Arbor computer service.
Are you a small business owner?

Maybe you’re struggling with the idea of cybersecurity?

As a small business owner, you juggle countless priorities—keeping customers happy, managing operations, and staying ahead of the competition. But one critical area you can’t afford to overlook is cybersecurity. Even industry giants like Ingram Micro, a global IT distributor, recently fell victim to a SafePay ransomware attack in July 2025, causing widespread outages and disrupting their operations for days. If a company of their size can be hit, small businesses are even more vulnerable without the right protections in place.

Ransomware isn’t the only threat. The looming end of support for Windows 10, Exchange Server 2016, and older Windows Server versions (like 2012 and 2016) is a ticking time bomb for businesses still relying on these systems. Microsoft will stop providing security updates for Windows 10 after October 14, 2025, and for Exchange Server 2016 and Windows Server 2016 soon after. Without updates, these systems become easy targets for hackers exploiting unpatched vulnerabilities. Upgrading or migrating to supported platforms is no longer optional—it’s essential.

A Tale of Two Roles: IT and Cybersecurity

A photo of a computer keyboard with a combination sitting on top, representing the combo of IT and cybersecurity that NSG's tech support provides.
Did you know that many IT providers overlook basic cybersecurity measures?

Recently, we spoke with a cybersecurity company looking for “boots on the ground” to implement their recommendations for clients. They explained, “We aren’t IT guys – we focus on cybersecurity. We ensure businesses have firewalls, backups, disaster recovery plans, and antivirus software.”

Funny thing is, at NSG, we are IT guys – and we do all those things, too, alongside our broader IT services. Their comment sparked a realization: not all cybersecurity experts are IT professionals, and definitely not all IT professionals are cybersecurity experts.

We’ve interviewed countless IT candidates with years of experience who know little about backups, disaster recovery, or protecting clients from viruses, ransomware, or malware. In today’s threat landscape, that’s a gap businesses can’t afford.

RMM Case Study

Ann Arbor Tech Support, Tech Support Ann Arbor
In our last blog, we gave a brief rundown of our Remote Maintenance and Monitoring (RMM) plans. To
demonstrate its usefulness, here is a real example of a client with an RMM plan:

One of our accounting firm clients faced a server crash during the height of tax season—a nightmare scenario for any practice. Our RMM system sent us an alert over the weekend, prompting us to investigate immediately. We discovered the server had rebooted but needed intervention to fully recover. By the time we checked our voicemail and found the client’s message, we had already restored their system.

When we called to confirm everything was back online, the client was astonished. “How did you know we had a problem before seeing our voicemail?” they asked.

“Simple,” we replied. “Your RMM plan alerted us the moment your server went down, so we jumped in to fix it.”

The client was thrilled—not only was their system back up quickly, but they were amazed we caught the issue proactively, even on a weekend. That’s the power of NSG’s RMM plans: peace of mind knowing your IT is monitored and maintained.
